The 9th Asia-Pacific Housing Forum을 함께 진행할 Event Management Specialist를 모집합니다.

The 9th Asia-Pacific Housing Forum은 2년마다 개최되는 국제포럼으로, 주택 문제에 대한 해결책을 모색하고 경제 성장의 원동력으로 양질의 주택을 장려하는데 관여하는 주요 이해관계자들이 모여 이틀 간 진행되는 회의입니다. 

본 포럼은 주거 분야 참여가들이 지속가능한 도시와 혁신을 촉진하기 위해 집단적 노력을 극대화할 수 있는 장으로 제공됩니다.

▶ 업무내용 – Event Management Specialist


*상세업무:

Event coordination, production and execution:

  1. Work with Habitat to develop an event concept to improve delegate experience, maximize Habitat’s organizational positioning and help achieve the Housing Forum’s objectives.
  2. Provision of guidance across the whole planning process of the Asia-Pacific Housing Forum, based on the sector latest trends and best practices.
  3. Program planning, consultancy, onsite & virtual management and execution of the program, with a dedicated Account Manager and support staff to service the program from start to finish.
  4. Advise on event concepts, agenda and promotional strategies in collaboration with Habitat’s Asia Pacific Housing Forum coordinating committee.
  5. Updating conference agenda and event features as requested.
  6. Coordinate the project timeline and monitoring of project deliverables.


Vendor management:

  • Negotiation and liaison with appointed vendors for services requested by Habitat for Humanity for planning and execution of the 2023 Asia Pacific Housing Forum, such as AV production, booth management, agenda for 40th anniversary dinner.
  • Shortlisting and selection, with approval and on behalf of Habitat for Humanity, of local vendors in connection to the Asia-Pacific Housing Forum (production houses, entertainment, photographer, printing, translation, transportation, souvenirs, registration assistants, technology and others), in alignment with the Forum’s budget.


Registration and delegate management:

  • Speakers and moderators’ management: communicate w/ existing and potential speakers and moderators in a timely manner, ensuring that they are well briefed on their participation at the Forum.
  • Gather speakers and moderators’ photos, biographies and presentations, securing authorization to publish speeches, conference papers and presentation materials.
  • Exhibitor management: coordinate the participation of exhibitors at the conference and requirements for exhibition booths.
  • Translate main pages of the AP Housing Forum’s website from English to Korean (landing page, about, sponsors, registration forms and others).
  • When necessary, coordinate participation of VIPs and support their travel agenda.
  • Answer enquiries from delegates, speakers and the general public.


Logistics/others:

  • Provision of secretarial support to Habitat’s Asia-Pacific Housing Forum coordinating committee before and during the Forum.
  • Conference branding: liaise between Habitat and vendors to ensure that all materials have the appropriate branding (e.g. backdrops, poster, signage, souvenirs).
  • Coordination of onsite services (e.g. session recording, A&V services and equipment, full- service tech support), check and approve bills and event revenues for final settlement.
  • Pre and post-production services (e.g. digitizing, editing, and mastering services of all recorded materials) 
  • Hire and brief staff helpers during the conference, ensuring they are familiar with their roles and responsibilities;
  • Onsite venue management: ensure all function rooms have adequate setting (chairs, lighting, AV equipment, presentations) and test equipment;
  • Draft “run of show” master document, detailing all activities taking place during the Asia-Pacific Housing Forum, including timing, locations, resources, materials and people involved;
  • Coordination with travel agency for travel arrangement for selected participants; 



Public Relations, marketing and publicity (preferred):

  • Provide counsel and recommendations on positioning, messaging, and platform for efficient and effective forum publicity.
  • Assist Habitat for Humanity in the marketing and promoting the event to targeted audiences through regional public relations services, including: press releases, media invitations, article and op-ed placements, secure spokesperson interviews, media management and monitoring;


Other tasks:

  • Assist in any other relevant administrative tasks relevant to the housing forum.
